How to export a trial balance, profit and loss or balance sheet from QuickBooks
Short version. Open Reports in QuickBooks Online, run the Trial Balance for the accounting period you are filing and export it to Excel. You can also import a separate Profit and Loss followed by a Balance Sheet into the same #Simple CompanyTax draft.

1. Before you export
Complete your bookkeeping and reconciliation. Check the report dates against the accounting period in your filing. Use the full accounts period even when it is longer than 12 months. The wizard asks you to allocate relevant figures between both Corporation Tax returns.
2. Export from QuickBooks
- Open Reports and search for Trial Balance.
- Set the report period to the exact accounting period and select Run report.
- Open the export menu and choose Export to Excel.
- If you use separate statements, run the Profit and Loss for the full period and the Balance Sheet at the end date. Export each to Excel.
3. Import and review
- Open Financial data and select Import file.
- Upload the Excel file and check the selected sheet, report type, heading row and amount columns.
- QuickBooks account numbers are optional, so review the account name, type and suggested filing line together.
- Resolve every account that needs attention, check the resulting totals and apply the figures.
4. Check the result
Check that Profit and Loss totals are not duplicated by QuickBooks subtotal rows. Confirm the balance sheet has a zero difference, then inspect the generated annual accounts and Corporation Tax computation before filing.
